Company Policies
The following policies are part of company operating standards and apply to all drivers. These policies are intended to support safe operations, regulatory compliance, cargo protection, equipment care, and clear communication between drivers, dispatch, safety, and customers.
All drivers are required to complete and submit a full pre-trip inspection video once per week. The inspection must be detailed and follow company standards, covering all critical components of the truck and trailer.
Failure to submit a complete video, or submitting an incomplete inspection, will be considered non-compliance and may result in disciplinary action.
Drivers are expected to inspect the truck, trailer, tires, lights, brakes, reefer unit, and all safety-related equipment before each trip and during the course of operation as needed.
Any defect, warning light, damage, air leak, fluid leak, or unsafe condition must be reported immediately and must not be ignored.
All drivers must use Samsara properly and maintain accurate records of duty status at all times. Logs must reflect actual activity, including on-duty, driving, sleeper berth, and off-duty time.
Misuse of personal conveyance, yard move, log edits, or any attempt to create false or misleading records is strictly prohibited.
Before beginning any trip, drivers must review load information carefully, including pickup and delivery times, commodity, temperature instructions, trailer requirements, route restrictions, and any special handling notes.
If any instruction is unclear, the driver must contact dispatch before moving the load. Drivers must never assume load details.
Drivers are fully responsible for setting, verifying, and maintaining the correct temperature as stated on the rate confirmation and dispatch instructions.
- Temperature must be checked before departure
- Reefer mode and set point must match load requirements
- Fuel level for the reefer must be monitored throughout the trip
- Any alarm, shut down, or deviation must be reported immediately
Failure to follow temperature instructions may result in cargo claims, service failures, and driver responsibility for damages where applicable.
Drivers must maintain timely and professional communication with dispatch, safety, and authorized company personnel. Delays, detention, route issues, breakdowns, appointment risks, claims concerns, and customer issues must be reported as soon as they arise.
Failure to communicate on time may increase operational loss and will be treated as a policy violation.
Any mechanical issue, warning light, tire issue, reefer fault, or roadside event must be reported immediately. Drivers must not continue operating equipment in an unsafe condition without company direction.
Prompt reporting helps protect the driver, cargo, equipment, and customer service commitment.
Any accident, cargo issue, property damage, customer complaint, seal issue, shortage, overage, or rejection must be reported to the company immediately. Drivers must preserve all available information, including photos, documents, and messages.
Delays in reporting may negatively affect claim handling and company protection.
Drivers must verify load details, appointment times, trailer number, seal status, and equipment condition before leaving the shipper.
Any issue must be reported before departure. Leaving the facility without verifying details will be considered driver responsibility.
Drivers are expected to act professionally at all customer, shipper, receiver, and public locations. Disrespectful behavior, arguments, threats, abusive language, or conduct that harms company relationships will not be tolerated.
Professional conduct is part of job performance and directly affects customer confidence and business continuity.
The company maintains zero tolerance for the use, possession, or presence of prohibited drugs, alcohol misuse, or controlled substances in violation of company policy or applicable law. This includes any conduct that may affect safe operation or regulatory compliance.
Violations may result in immediate removal from service and further disciplinary action.
Company-provided equipment, tablets, communication tools, and operational systems must be used only for authorized work purposes and handled responsibly. Drivers are expected to protect company devices from damage, misuse, and neglect.
Any malfunction, loss, or misuse must be reported immediately.
Drivers must obtain, protect, and submit all required shipping documents, bills of lading, proof of delivery, lumper receipts, temperature records, and any other trip-related paperwork promptly and accurately.
Late, missing, or incomplete documentation may delay billing, reduce customer confidence, and create financial exposure for the company.
Failure to follow company policy may result in corrective action, loss of load opportunities, financial responsibility where applicable, suspension, or termination, depending on the nature and severity of the violation.
The company reserves the right to review each violation based on safety risk, operational impact, customer impact, and documented facts.
By proceeding with assigned loads and operating under the company, the driver confirms understanding and acceptance of all company policies, procedures, safety requirements, and operational expectations.
